TERMS AND CONDITIONS

Rental Period and Rates

  1. Rental Period: The Studio will be available to the Client for the duration specified in the booking confirmation. Any extra time will incur an hourly fee.

  2. Rental Rates: Rates are detailed in the booking confirmation and are based on the established hourly or daily fees by the Studio.

Payment Terms

  1. The total rental fee is required to confirm the booking and secure the shoot date. Payments can be made via bank transfer or through the booking app.

  2. A booking is deemed confirmed only once the invoice is paid, unless otherwise agreed in writing with Epitomestudio Ltd.

  3. Additional services, such as Coloramas, will be billed after the shoot, payable upon receipt of the invoice, or can be included when booking online.

  4. Late payments will incur a 10% surcharge on the specific booking amount.

  5. Bookings extending outside the studio's operating hours will attract an overtime charge of £60/hour from 6:00 AM to 9:00 AM and 7:00 PM to 12:00 AM, and £75/hour after midnight.

  6. The cost of Coloramas is £10/meter, only for the portion that contacts the floor.

  7. If invoices are not settled within the time frame stated in the booking confirmation email, Wista Studio Ltd will charge the card used to secure the booking.

  8. Set-up and pack-down time should be included within the booked hours. Clients are not allowed access to the studio before the scheduled start time and must vacate promptly at the booking's end.

  9. Any items that are damaged or missing will be charged at full price, plus a £15 administration/restocking fee.

  10. A discretionary fee of £35 will be charged if the Studio is left in an unsatisfactory state. Clients are encouraged to communicate with Wista Studio Ltd regarding cleaning needs upon booking completion.

Cancellation and Rescheduling

  1. Cancellation Policy: Full refunds of the deposit are available for cancellations made more than 7 days before the rental date. Cancellations within 7 days will receive a 50% refund, with the remaining 50% retained by Wista Studio Ltd.

  2. Clients cancelling within 48 hours of the booking start time or failing to attend will be responsible for 100% of the booking fee.

  3. Rescheduling: Requests to reschedule must be submitted at least 7 days in advance. Approval depends on availability and may involve a rescheduling fee.

Use of Studio and Equipment

  1. Permitted Use: The Studio is designated for photography, videography, and other approved media-related activities. Unlawful or unauthorized activities, as well as smoking and alcohol consumption, are prohibited.

  2. Studio Equipment: Included in the rental fee are standard studio items (e.g., stool, props). Specialty equipment may incur additional fees. The Client must return all equipment in its original condition.

  3. Damage to Equipment or Studio: The Client is liable for any damage resulting from negligence or misuse. The Studio may charge for repair or replacement costs. Any damages, marks, or spillages must be addressed before the rental period concludes.

  4. Alterations, decorations, or additions to the studio require written consent from Wista Studio Ltd.

  5. Clients must report any unacceptable conditions of equipment to Wista Studio Ltd. at the time of supply.

  6. All damages must be settled as outlined in the invoice.

Studio Access and Use

  1. Access: The Client and their guests have access to the Studio only during the rental period. The Client is responsible for Studio security.

  2. Cleanliness and Organisation: The Studio should be maintained in its original condition. The Client is responsible for cleaning up any mess created during their rental.

  3. Capacity: The Studio's maximum occupancy is 16 individuals. Exceeding this limit without prior approval may incur additional charges or termination of the rental agreement.

Client Responsibility and Liability

  1. Insurance: The Client must obtain any necessary liability insurance for activities and property within the Studio. Wista Studio Ltd. is not liable for injuries, accidents, or damages during the rental period.

  2. Indemnity: The Client agrees to indemnify and hold Wista Studio Ltd. and its associated parties harmless from any claims, damages, or losses resulting from the Client’s use of the Studio.

Photography and Media Rights

  1. Usage Rights: The Studio permits the Client temporary rights to utilize the premises for media production during the rental. Intellectual property produced during the session remains the Client’s property unless otherwise designated.

  2. Studio Promotion: The Studio may take behind-the-scenes photographs for promotional purposes with the Client’s consent. The Client can decline this by notifying the Studio prior to the rental period.

Termination of Rental

  1. Breach of Agreement: Wista Studio Ltd reserves the right to terminate this Agreement and end the rental period immediately if the Client violates any of the terms and conditions.

  2. Refund Policy: In the event of termination due to the Client’s breach, no refunds will be given. In the case of Studio-initiated termination for reasons outside the Client’s control, the Client will receive a refund for the unused portion of the rental period.

    Governing Law

    1. This Agreement shall be governed by the laws of England and the United Kingdom. Any disputes arising from this Agreement shall be resolved in the courts of England and the United Kingdom.

    Acceptance of Terms

    1. By confirming the booking, the Client acknowledges that they have read, understood, and agree to all terms and conditions outlined in this Agreement.

A goods lift is also available for larger props, backdrops and equipment.

There is selection of small blocks, leaves, rocks etc that clients can use as props for smaller product & still life arrangements.

Clients may rent lighting equipment separate to the studio. (Please check equipment list for prices).

We have a varied selection of Coloramas that clients may use for £12/meter used on the floor.

Please enquire about colours and set up in advance.

KITCHEN

  • Coffee Machine (10pods included)

CATERING

  • We can offer reccomendations for a number of local food/coffee establishments, or an option for full shoot catering.

PARKING

  • A private off-street car park is available for up to 3 vehicles (subject to availability on the day) with 2hr, 4hr, and 24hr options available.

  • Street parking in the local area is also available for a flexitble option.

  • 30min drop-off with access to the goods lift, complimentary with each booking

SETS/PROPS/LIGHTING/EQUIPMENT/STYLING

  • We request that all equipment, props, and styling be delivered and picked up on the same day of rental. Alternative arrangements can be made prior to the booking; please reach out to hello@wistastudio.com for assistance.

  • If agreed upon in advance by Wista Studio Ltd, props and equipment may be delivered to the studio before the Client’s scheduled booking. While Wista Studio Ltd is not responsible for the Client’s property, we can accommodate these requests made ahead of time for a £60 labor fee.

  • Wista Studio Ltd is not liable for any items that are lost, damaged, or stolen during the rental period or left on the premises.

  • The Client will incur additional charges for the disposal, storage, or transportation of any items left on-site or not collected.
